Refunds

The Refunds page in Wisenet provides a detailed view of refunds generated from credit notes issued, specifically where payments were made against an invoice.
In addition to offering a quick overview of refund details such as refund numbers, debtor information, refund dates, and refund amounts, users can also perform the following actions:
  • Access associated credit notes, payment receipts, and debtor information.
  • Navigate to a more detailed view of each refund.

You can also export selected refund records using the Data Export feature for further reporting or analysis.

How to Manage Refunds

Navigate to LRM > Finance > Refunds

A list of all refunds appears on the Refunds page. By default, 20 entries are shown per page. Depending on how many refunds have been processed. Scrolling through the Refunds list might find the relevant refund record quicker.

NOTE:  The page navigation option at the bottom of the list is available to open the next set of refunds list, or you may want to use the dropdown to change the default view from 20 per page to a higher number.

Otherwise, follow the guidelines in Step 2 below on how to search for a Refund.

Search for a Refund

There are several different ways to search for a Refund. For a more refined result, use some or all of these methods at the same time:

The Search Bar

Use the Search Bar to search by:

    • Debtor
    • Refund Number
The Sort By function

Use the Sorting arrows next to a column header to sort by that column.

Filters

Add one or more Filters to filter the list of Payments:

    1. Click + Add Filter
    2. From the list provided, select as many fields you want to filter by
    3. Click Done when ready
    4. Optional: Click on the filter icon to save a filtered view.

View more details from your Search Result
  1. Click on the Refund Number to view the Refund Details page.
  2. Click on the Receipt Number to view the Payment Details page.
  3. Click on the Credit Note Number to navigate to the Credit Note Details page.
  4. Click on the Debtor to navigate to the Debtor Details page
    • NOTE: The Debtor can be either a Learner or a Workplace.
      • If Learner, then the Learner Details page will open.
      • If Workplace, then the Workplace Details page will open.

NOTE: These pages will open in the same Tab of your browser. Simply click on the “Back” arrow of your browser to go back to the Refunds Search page.

How to Add a Refund

Navigate to LRM > Finance > Invoices > Invoice Number

  1. Follow the steps on How to Add a Credit Note from an Issued Invoice.
  2. Ensure that at least one payment is linked to the issued invoice.
    Follow Step 1a if the original payment was made via the Stripe payment gateway and you would like to process the refund through Stripe.
    If payment was manually captured, the refund must be processed manually via an external source.
  3. In the Add Credit Note drawer, select the Refund payment under “How would you like the excess credit to be handled?” section.

Note: Wisenet currently supports full refunds only.

Refunds via Stripe Payment Gateway

In Wisenet, Stripe is the only payment gateway available for processing refunds if the original payment was made through Stripe. By default, this function is disabled.

To enable Stripe refunds:

  1. Ensure you have an Owner user access role.
  2. Navigate to Settings > App Settings > LRM.
  3. Find Refund through Payment Gateway, toggle to enable it, and click Save.

Once enabled, refunds for Stripe payments can be processed directly within Wisenet.

Payments

  1. The Payments section will show a list of payments made toward this issued invoice.
  2. Select one or more payments you would like to refund.
  3. Ensure at least one or both of the Public Notes and Private Notes field have been filled in
  4. Click Add Credit Note button

Note: From the Generate Credit Note from an issued invoice pathway, the credit note amount will be the full value of the issued invoice.
