Once a quote has been accepted you can invoice your customer.
1
Before you begin
There are two ways to invoice a quote:
- Manually
- Automatically
Quotes must have the status ACCEPTED to invoice.
A Learner or Workplace MUST be attached to a quote in order to invoice it. Before you send a quote to a Sales Contact, ensure the linked Learner / Workplace is selected.

Manually invoice a quote
From LRM > Finance > Quotes:
- Find the relevant Quote.
- In the Actions column, click the “Invoice Quote” icon.
- Select an invoice due date.
- Cannot be a past date
- Click Issue Invoice.
From LRM > Finance > Selected Quote > Quote Details:
- Click Action > Invoice Quote
- Select an invoice due date.
- Cannot be a past date
- Click Issue Invoice.
NOTE: If the Invoice Quote icon is absent, the Quote is missing a linked Learner or Workplace and cannot be invoiced.

Set up automatic invoicing
- Navigate to LRM > Finance > Settings > Invoice Settings
- Enter the number of days in which invoices will be due.
- Navigate to LRM > Settings > LRM (under App Settings)
- Switch “Auto Invoice Accepted Quote” to ON.
- This will automatically invoice an accepted Quote, providing a Learner/Workplace has been selected.
- The invoice due date is calculated from the number of days you specified in Invoice Settings.
- The invoice is instantly sent to the customer.
IMPORTANT: If a Quote does NOT have a Learner or Workplace selected, it will NOT automatically create an invoice. To prevent this situation, ensure you have added a Learner or Workplace when creating a quote.
