How to set up assessment submissions

Before you begin:

Required Knowledge: Data Submissions

Required LRM Access: Owner, Admin, Superuser, User

Create an Assessment Submission Type

  1. Navigate to LRM > Settings > Dropdown Lists (under Configuration) > Assessment Submission Types
  2. Click Add Assessment Type
  3. Enter a name
  4. Set the Is Active toggle to YES
  5. (Optional) Enter an External Reference
    • For automatic submissions, confirm the External Reference with the external provider.

Create Custom Fields to add to the Assessment Versions

  1. Navigate to LRM > Settings > Custom Fields (under Configuration)
  2. Click Add Custom Field
  3. In the Entity field, select either Learner, Course Enrolment, or Unit Enrolment.
    • For automatic submissions, confirm the Entity with the external provider.
  4. Select a Field Type
    • For automatic submissions, confirm the Field Type with the external provider.
  5. Enter a name
  6. Enter a description if needed
  7. Set the Is Secure toggle to NO
  8. (Premium customers) adjust the Is Visible toggle
    • Is Visible = ON: Custom Field will appear in the Custom Fields section.
    • Is Visible = OFF: Custom Field will not appear in the Custom Fields section, but will still be visible in the data submission.
  9. Click Save
  10. Add further custom fields if needed.

NOTE: Customers on Premium edition can see Custom Fields in the Custom Fields section, or they can choose to make some Custom Fields visible only in Data Submissions.

Customers on Standard editions can only use Custom Fields for Data Submissions.

Create Assessment Versions

  1. Navigate to LRM > Settings > Dropdown Lists (under Configuration) > Assessment Submission Versions
  2. Click Add Assessment Version
  3. Enter a name
  4. In the Assessment Type field, select the Assessment Submission Type you created in step 1
  5. Select an Entity
    1. For automatic submissions, confirm the Entity with the external provider.
  6. Set the Is Active toggle to YES
  7. Adjust the Are manual results allowed? toggle
    1. If you are creating a manual submission, set to YES
    2. If you are creating an automatic submission, set to NO
    3. Manual submissions are available for Premium customers only
  8. (Optional) Enter an External Reference
    • For automatic submissions, confirm the External Reference with the external provider.
  9. Click Add Result Field
  10. Select the Custom Field you created in step 2
  11. (Optional) Enter an External Reference
    • For automatic submissions, confirm the External Reference with the external provider.
  12. Add more result fields if needed
  13. Click Save.
  14. Add further Assessment Versions if needed.

NOTE: Manual submissions for Assessment versions are available for Premium customers only.
