BI Tutorial – Enrolment per month/year

Before you begin:

Required Knowledge: Getting Started with PowerBI

Create a report for enrolment by date

Load data tables

  1. Launch the PowerBI App and load your data tables.
  2. Ensure to include Course enrolment ID to return distinct enrolment records.
  3. Include columns for Month and Year, extracted from the date and time fields. Learn more: How to prepare your data in PowerBI.

Create a table

  1. Select the columns such as Year, Month, and Course Enrolment ID by clicking the checkboxes.
  2. The table will be ordered in the same sequence.

Display Course Enrolment ID count

  1. Click on the table > Visualizations > Columns
  2. Click the down arrow next to courseenrolmentid
  3. Change the value to display the Count instead of Sum of Course Enrolment ID.

The table will be updated to display the number of Course Enrolments by year, by month. The screenshot indicates there was 1 enrolment in Jan 2015 and 32 enrolments in Jan 2017.

Create a Clustered Column Chart

Copy the current table using copy and paste.

Select the new table > Visualizations > Clustered column chart.

  1. Put the month and year columns into the x-axis
  2. Put the count of courseenrollmentid into the y-axis

A clustered column chart will now display the course enrolments by months and years.

Click the Drill up option on the top right to summarise the graph by year.

For a month-by-month summary of a specific year:

  1. Click the down arrow (Drill down option)
  2. Click on a specific year on the graph.

If you click the two arrows pointing down you see the whole view with years and months at once. This system is called Drill Down.

To show the table and graph at the same time:

  1. Drag the table and graph side by side.
  2. This creates a view with:
    • A graph of the month-on-month course enrolments for a specific year
    • The corresponding values in table form
