NZQA Export Errors

This page provides you with a list of common NZQA errors, how to fix them and frequently asked questions about NZQA errors.

Quick Tip:

Run Report #2027 – Data Integrity to check the NZQA history for each Unit Enrolment. You can filter the report as required to focus on a specific group of Unit Enrolments. Each will have a NZQA status of:

  • ‘ready to export’
  • ‘future’
  • ‘incomplete’
  • ‘exported’
NZQA Common Issues
IssuesHow to Fix
There is a problem with a record when I'm reviewing the fileEach record will only be exported once. If you find there is a problem with a record when you review the file, you will need to reject the batch, correct the error(s) and repeat the export.

1. Click Reports in the Top Bar
2. Click Exports in the Side Navigation
3. Click NZQA Export
4. Click NZQA Result Export History
5. Click the link that says Reject
I did not receive my export files- For Unit Enrolments: The email address during the export process is completely optional. You can retrieve your export files by going to Report>Exports>NZQA Export and click on NZQA Result Export History

- For Course Enrolments: we recommend re-running the export with an email address to retrieve the file.
Cannot find which batch this record was recorded inThe NZQA integrity report (Report 2027) gives you a complete list of all enrolments in units with the ‘is unit standard’ flag switched on.

- For exported records, report 2027 gives the batch number of the export
- For records with an end date in the future, the report will show ‘Future’ – reporting an end date that has not happened yet will cause an error so these records won’t appear until the unit enrolment end date is today or earlier than today
I can't upload the ExportMake sure you unzip the exported file and upload the enclosed text file. If you try to upload the zip file you will get an error: ‘couldn’t upload the file; invalid file; the file contains binary characters.’
I reported the wrong resultsYou can reject the export run and update the Learner’s record.

If you wish to change a result that you have already submitted to NZQA, you will need to contact NZQA directly.
The Records are there in the export file but there is no result reported- For NZDIPBUS courses, ensure the Use NZQA NZDIPBUS Reporting Format flag is switched ON to trigger NZDIPBUS reporting

- For all other courses, Ensure the Use NZQA NZDIPBUS Reporting Format flag is switched OFF as this will trigger NZDIPBUS reporting not normal NZQA reporting
I don't know whether to set up a separate Wisenet Course for SDR and NZQAFor every different qualification code that you need to report, you need a course set up in Wisenet with that code.

If your SDR qualification uses the same code as the NZQA qualification, you can use the same course for both kinds of reporting.

If the qualification codes are different, you need to create separate courses.

And the same rules apply if you want to set up a separate Wisenet Unit for SDR and NZQA
I don't know how to report different versions of a qualification or unit1. Set up a different course for each version of a qualification
- When your organisation starts to deliver a new version of a qualification, set up a new course for it in Wisenet
- Note: The course code should be the qualification code then a dot then the version code. For example, course code PC1234.2 will export as Qualification PC1234 Version 2

2. Set up a different unit for each version of a unit standard
- When your organisation starts to deliver a new version of a unit, set up a new unit for it in Wisenet. You can copy the other unit, changing details as necessary. The unit code should be the unit standard code then a dot then the version code. For example, unit code 1234.2 will export as Unit Standard 1234 Version 2
Records are not appearing in the F23 Unit Achievement exportIn order for a record to appear in the F23 Unit Achievement Export:

Non-DIPBUS requires:
- Unit > Is Unit Standard is ticked
- Unit Enrolment > End Date must not be blank or in the future
- Unit Enrolment > NZQA Result = ‘C’, ‘CR’, ‘A’, ‘M’ or ‘E’

DIPBUS requires:
- Unit > Is Unit Standard is ticked
- Unit Enrolment > End Date must not be blank or in the future
- Unit Enrolment > NZQA Result must not be blank
- Unit Enrolment > Result = A+, A, B+, B, C, D, E, F or P
Records are not appearing in the QE1 Qualification Achievement ExportIn order for a record to appear in the QE1 Qualification Achievement Export:

Course Enrolment > Qual Issued is ticked

Course Enrolment > Request Type must not be blank. It should be:
- C = Certificate request, prompts NZQA to issue a certificate for this qualification
- S = Status Check only – generates a Qual-Check report
- V = Verification (only applicable to approved organisations)
- blank – will not export
Provider or Awarding Location ErrorIf you receive an error relating to Provider or Awarding Location, complete the following checks:

1. If the awarding and location provider are the same for QE1 then you do not need to choose Awarding Provider

2.Check the location for the course offer(s) you exported. If you have more than one course offer in this export batch, the location code will be taken from the first one processed. We recommend that you always only process offers from a single location in the same batch. For maximum safety, process only one course offer per batch. Check the following:
- does the location need changing in the course offer
- does the location code need changing in organisation>locations
- did you run the export for the wrong offer(s)
Qual Version Strand Errors and WarningsNote that a warning will not prevent correct submission, so double check the error and warning report from NZQA. If you only have a warning for this issue, you can ignore it.

However if you have an error, here is how to address it. Some qualifications need to report a version or strand as well as the qualification code. If you get Qual/Version/Strand errors, check these places:
- course code: everything to the left of the decimal place. If no decimal place, then the entire course code is the Qual code in NZQA exports. See also NZQA: Reporting different versions of a qualification or unit
- version: everything to the right of the decimal place. If no decimal place, then no version will be reported
- strand: this is a field in the course offer enrolment
