Wisenet Finance Updates are now live

Finance that works at scale.

More learners should not mean more financial administration.

Every enrolment, change, payment and withdrawal can create financial activity. As learner volumes grow, so does the work involved.

Wisenet Finance creates efficiency by connecting financial activity directly to learner information, and our latest updates are designed to build on this foundation.

More flexible payment allocation, improved invoice and credit note management, Accounting Period Lockdown, and clearer refund workflows give teams the context and controls they need in one place to reduce manual effort and make it easier to manage financial activity across large learner cohorts.

Protect finalised financial periods with Accounting Period Lockdown

Accounting Period Lockdown introduces a new control in Wisenet to help protect transactions once a financial period has been finalised.

Set an Accounting Lockdown Date by navigating to Finance > Settings > General Settings. The date defines the latest date, inclusive, for which financial transactions are locked.

Once set, financial transactions cannot be added or edited within the locked period. New transaction dates must fall after the Accounting Lockdown Date.

The Accounting Lockdown Date can also be adjusted to a past, present, or future date when required.

How Accounting Lockdown applies to financial transactions

The Accounting Lockdown Date is applied across key Finance transactions, including:

  • Invoices
  • Payments
  • Credit Notes
  • Write-offs

When creating or updating a transaction, Wisenet validates the transaction date against the Accounting Lockdown Date.

For example, if the Accounting Lockdown Date is 30 September, the next available transaction date is 1 October.

Transactions received through Sales+ and the Invoice App

Transactions can continue to be received through customer-facing workflows even when their original transaction date falls within the locked period.

Wisenet automatically uses the next available date after the Accounting Lockdown Date for:

  • Payments received through Sales+ or the Invoice App
  • Invoices created through Sales+

This allows these transactions to continue to be processed without changing financial activity within the locked period.

Set invoice dates to match your billing

Invoice dates can now better reflect the billing period they belong to, giving you greater flexibility over when transactions are recorded and issued.

An Invoice Issue Date can be set in the past, present, or future, provided it falls after the Accounting Lockdown Date.

Future-dated invoices continue to be created as Scheduled Invoices and can now be edited before issue, making it easier to accommodate changes to enrolment, billing, or debtor details without unnecessary rework.

Draft and Scheduled Invoices also create Account Items, which automatically update when the Invoice is changed before issue to keep financial information aligned.

The Invoice Details page has been updated to support these workflows.

Record payments now, allocate them later

Payments do not always arrive when an invoice is ready. Wisenet Finance now lets you record a payment when it is received and allocate it once the appropriate invoice is available.

A payment can remain unallocated until needed, then be applied across one or multiple invoices for the same debtor. Allocations can also be removed and reassigned when circumstances change to reduce the need for workarounds or unnecessary corrections.

Payment Dates can be set in the past, present, or future, provided they fall after the Accounting Lockdown Date.

The updated Payment Details page brings payments, allocations, and related refund activity together to give teams a clearer view of how funds have been applied.

Apply Credit Notes where you need them

Credit Notes can now be managed with greater precision to give finance teams more control over how credits are created and applied.

Line items can be adjusted when creating a Credit Note to reflect the amount that needs to be credited. Once issued, the available credit can be allocated across one or multiple Invoices, left unallocated until needed, or reassigned when required.

Credit Note Issue Dates can be set in the past, present, or future, provided they fall after the Accounting Lockdown Date.

Credit Notes also create Account Items to keep the underlying financial record aligned with the transaction.

The updated Credit Note Details page below provides clearer visibility of the Credit Note and how it has been allocated or refunded.

Manage refunds around the transaction

Refunds can be processed directly from either a Payment or Credit Note, giving finance teams a clearer way to return funds based on how the original transaction has been used.

For Payments, available refund options reflect how the payment has been allocated. Fully utilised payments can be refunded in full, while available amounts can be refunded partially or in full. Any remaining amount can be refunded later if required.

For Credit Notes, all or part of the available credit can be refunded, with any remaining amount available for a future refund from the same Credit Note.

Refund Dates must be on or after the original Payment or Credit Note date and after the Accounting Period Lockdown Date.

The updated Refund Details page below provides a timeline of the refund activity.

Write off only what needs adjusting

Write-offs can now be applied to a specific invoice amount, giving you greater precision when only part of an outstanding balance needs to be adjusted.

Multiple Write-offs can be applied to the same Invoice if further adjustments are needed.

The Write-off Date can be set in the past, present, or future, provided it falls after the Accounting Lockdown Date.

A new timeline provides a clear record of Write-off activity against the Invoice, making adjustments easier to track.

Processing a Write-off does not automatically send an email.

Choose when Finance emails are sent

Financial actions and communications can now be managed separately, giving teams greater control over when recipients are contacted.

When working with Invoices, Credit Notes, Payments, and Refunds, you can choose to complete the financial action without sending an email or to send one as part of the process.

Before an email is sent, to ensure each communication is accurate, you can review:

  • Recipients
  • Reply-to address
  • Subject
  • Email body

Automatic emails will continue where communication forms part of an automated workflow, including:

  • Quote accepted or declined
  • Invoice created through Sales+
  • Payment received through Sales+ or the Invoice App
  • Invoice automatically created from Account Items
  • Invoice automatically created from a Scheduled Invoice

Keep Finance email settings consistent

Finance emails now use a common From Name and Reply-to email address, helping maintain consistent communication across Finance.

These details can be managed in Finance > Settings > General Settings.

The organisation address and ABN details shown on Finance templates, including Invoices and Quotes, are taken from Settings > Account Settings.

See more detail in the Invoice App

The Invoice App has been updated to reflect the new allocation model and provide clearer visibility of financial activity.

You can:

  • View declined Quotes
  • See individual allocations against an Invoice
  • View allocation and Refund details for Payments
  • View allocation and Refund details for Credit Notes

With more detail available in one place, teams can understand account activity faster and spend less time piecing together financial information.

Give learners a clearer view of Refunds

The Learner App now includes a dedicated Refunds tab, giving learners a clear place to find refund information without searching through their Payments.

The tab appears whenever a Refund exists.

These enhancements are part of a broader approach to making financial administration more efficient, helping teams manage fees, invoicing, payments, adjustments, and financial controls consistently as volumes grow.

On 1 October 2026, Ash Jayakumar hosted a webinar to explore common scenarios and show how Wisenet Finance brings financial processes together to reduce manual effort, strengthen control, and support higher volumes without adding unnecessary administration. You can watch the recording below.
