USI RAM replacing AusKey

Wisenet has the new USI integration with RAM which includes:

  • A new connected app in LRM for USI
    • This allows Wisenet to communicate with USI on your behalf
  • New Verify and Retrieve actions in the Learner > Personal Details page to simplify USI
  • Improved dashboards and reports for USI status overview
  • Removed old Auskey data and functionality
  • Updated Learn resources to have new articles for new USI functionality

You may have received communication from other organisations advising of their MyGovID and RAM changes eg. from NSW STS Online. This is unrelated to Wisenet and you need to follow their instructions on what they require.

What is USI

The Unique Student Identifier (USI) is an Australia-wide student number which allows students to track their training records across all Australian states and territories. To meet compliance obligation, almost all accredited VET training organisations are required to collect USIs.

Note: USI Transcripts are updated by NCVER after end of year data submissions. Any data submitted through NCVER gets pushed to USI by the department thereon after.

How USI works in Wisenet

In Wisenet, the USI is recorded against the Learner’s profile and you can use the USI M2M Integration to verify Learners USIs.

Wisenet’s USI Verification process checks that Learner details match the USI Registry. This allows RTOs to verify USIs in real time using a web services connection.

The automatic verification not only saves you time but it also notifies you when a Learner’s USI is not valid. And as USI is reported in Wisenet, you can generate reports against each USI.

Learners that do NOT require a USI

Some Learners do not require a USI. These Learners still however require a value entered into the USI field. If one of the following codes are used in place of an actual USI values, the Learner will not be able to access training details on the new USI transcript system.

The following codes must be used.

  1. INTOFF – Use this code in the USI field for International Offshore Students
    • To use this the Client’s address must have a Country other than Australia
      • This is so that the Postcode will be set to ‘OSPC’
      • Training activity cannot have the Funding Source National code – ‘20’ (domestic client – other revenue)
  2. SHORT – use this code in the USI field for Learners in eligible Short Course
    • If a Learner participating in a Short Coursedoes have a USI this can be added
  3. INDIV
    • Some Learners can have special exemptions. You can enter this code for these Learners.

Once you have completed the USI M2M authentication with Wisenet you can collect a Learner’s USI. This can be done using

Monitoring USI

After USIs are collected, ongoing monitoring of their verification is required. Verification errors occur due to incorrect or missing data.

If USI’s are not verified:

  • You can discover the failed USI verifications by looking at the Dashboard page.
  • You can also click on the failed count to produce a specific report to find USI’s that have not been verified and what has caused the error. Learn more on How to Monitor USI Verification
