If a learner is eligible for a full or partial fee refund after a course change or withdrawal, and the original payment was made by StudyLink, the training organisation must return the refunded amount to StudyLink.
A typical process is:
- Update the learner’s unit and/or course enrolment to reflect the change or withdrawal.
- Find the invoice for the affected course fees and confirm that it was paid by a payment with the StudyLink payment method.
- Create a refund against that payment for the amount being returned to StudyLink.
- Wisenet automatically unallocates the payment from the invoice and asks whether to create a credit note. Choose Yes to create a credit note for the invoice.
- Later, include the refund in a StudyLink Refund Schedule. The credit note is not a refund record and is not added to the schedule.
