How To Test Your Data Import

Reports in Wisenet can be used for data integrity checks. We use this process as an easy way for you to be able to check the accuracy of your data import during testing.

Before you begin:

Required LRM Access: Admin

Required Pre-Steps: Understand what information you are trying to obtain. Wisenet Data Imports

Navigate to LRM > Reports

Select the report you require

 

There are two different Reports to run to check your data

9012 Enrolment Data Import Check

COR refers to course enrolment fields and CUOR refers to Unit Enrolment Fields

9013 Client Data Import Check

There are two different Reports to run to check your data

2089 Client Data Import Check

2090 Enrolment Data Import Check

  1. In the Top Navigation Bar select Reports
  2. In Step 2 type in your report number into the first box and Enter
  3. Your report will appear. Click on the report
  4. Scroll down to Step 6 and select Download to Excel 
  5. Open Excel document

Check your Reports

Through these reports the more information you cross reference it against the better chance you have of picking up any errors.

You are looking for:

  • missing information
  • errors
  • duplications
  • anything that doesn’t seem right
  • fields you are unsure of
  • count the number of rows and if this number matches what is in your current database

Client Report 9013

We recommend that you check:

  • 5 -10 Learner records
  • Variety of Learners (if applicable) such as domestic, international etc.
  • Check all fields in your Specification Document or Template Import
  • You can also check AVETMISS details. View the tables below and look in the column marked AVETMISS

Report 9012 Enrolment Details

We recommend that you check:

  • 5-10 different Learners and Course enrolments (preferably different types of Courses e.g. short courses vs. extended qualifications)
  • Check all fields in your Specification document or template.
  • You can also check AVETMISS fields. View the tables below and look in the column marked AVETMISS

Client Report 2089

We recommend that you check:

  • 5 -10 Learner records
  • Variety of Learners (if applicable) such as domestic, international etc.
  • All relevant fields have been imported. Use the tables below to check important SDR or NZQA fields

Report 2090Enrolment Details

We recommend that you check:

  • 5-10 different Learners and Course enrolments (preferably different types of Courses e.g. short courses vs. extended qualifications)
  • It is important to check all government reporting fields. View the tables below and look in the column marked SDR, NZQA or UIP

Check LRM

For more of a visual representation of your import you can go into areas of the LRM to check what information is present.

  1. On the Top Navigation Bar click Courses
  2. On the Left Navigation Bar click View All Search (If you select View All notice the Count or number of Courses)
  3. Click on the relevant Course Code
  4. Notice any information that is missing or incorrect
  5. On the Left Navigation Bar click Units
  6. Click on each Unit and check details
  1. Navigate to LRM > Learner/Client 
  2. On the Left Navigation Bar click View All or Search for a specific learner by entering in their name into the search bar (If you select View All notice the Count or matching records.)
  3. Select relevant Learner
  4. Their profile will now open
  5. Click on each Profile Tab > Personal Details > Demographics > International > Next of Kin and look to see if any of their details are incorrect
  6. You can also see their Enrolments here. Go back to Profile Tab and look for the area called Enrolments. This indicates what Course Offers they are enrolled into. Look for:
    • Duplicates
    • Missing Enrolments
    • Missing Units
  1. On the Left Navigation Bar click View All or enter the Course Offer name (If you select View All notice the Count or matching records.)
  2. Click on the relevant Course Offer
  3. View details to see if anything is missing/incorrect
  4. On the Left Navigation Bar select Enrolments. Look for:
    • Enrolment Counts
    • Duplications
    • Start and End Dates
    • Status

Recording your findings

Any of the fields that you found errors in you can record this information in your Specification or template document.

This will allow us to further investigate and testing why this error is occurring.

  1. Respond to your support ticket with the updated Specification document
  2. Include any questions or additional comments you have

We will then schedule a time to go through this with you.
