Qualification Refactoring Release – Now Live!

We are excited to announce the release of the next phase of Qualification Refactoring, introducing new functionality, expanded flexibility, and critical fixes to streamline how you manage Qualification Enrolments, Credentials, and Unit Sets.

This release builds on the foundation laid in the first deployment and delivers both new features and important refinements.

To support this change:

  • Existing Unit Set data has been cleared, but an organised re-import will restore your data in the new format.
  • Sites with Unit Set data have already been exported by our team, ensuring nothing is lost.
  • All existing Qualification Credentials have been deleted as part of the release.
  • No action is required from your end. Once the re-import is complete, you’ll see your data in the updated structure.

Key Changes to Qualification Enrolments

New Qualification Enrolment Statuses

  • Not Yet Achieved
  • Achieved – Pending Award
  • Awarded
  • Awarded – Special Consideration
  • Withdrawn

Note: Any previously created qualification enrolment will be updated to display the new qualification enrolment statuses.

Status and Credential Independence

  • Qualification Enrolment statuses are no longer linked to Credential statuses.
  • Credentials can now be requested and issued independently of qualification enrolment status.

Audit-Driven Progression

  • Qualification audits (manual or automatic) will set the status to Achieved – Pending Award when requirements are met.
  • Special Considerations allow users with Owner access to bypass rules and award qualifications individually.

New Fields & Enhancements

  • Completion Date field on Qualification Enrolments.
  • Qualification Name and Description character limit extended to 300 characters each.

Credential Management Updates

Credential Type on uReport Templates

New Credential Type field for uReport templates (Certificate, Transcript, Statement, Letter, Card, Other).

  • Required setup: all custom credential templates must be assigned a Credential Type.

Credential Rules by Qualification Status

You can now request and issue multiple credentials against a single Qualification Enrolment. This gives you flexibility to issue different documents (e.g., certificates, transcripts, statements) as needed.

However, there is built-in logic to protect compliance:

  • Certificates can only be issued when the Qualification Enrolment status is:
    • Achieved – Pending Award
    • Awarded
    • Awarded – Special Consideration
  • All other Credential Types (transcripts, statements, letters, cards, etc.) can be issued at any Qualification Enrolment status.

This ensures certificates are only awarded when a learner has met qualification requirements, while still allowing you to issue other supporting credentials at any stage.

Additional Enhancements

  • Bulk update of Qualification Enrolments.

Special Considerations

We’ve introduced the ability to Award a Qualification with Special Consideration, bypassing Qual Audit Rules.

  • Available only to Owners.
  • Requires a note (saved as a non-deletable file note).
  • Must be actioned individually (no bulk updates).

Unit Sets 

We’ve released improvements to how Unit Sets are managed, designed to reduce duplication and make configuration more flexible.

What’s new:

  • Unit Sets are now configured at the Qualification level
  • A Unit can belong to multiple Unit Sets.
  • Updated UI with easier ways to add Units to a Unit Set and to see which Qualification Majors reference the Unit Set.
  • Link Unit Sets to Qualification Majors and view all Units from all Linked Unit Sets

Future update: 

  • Ability to copy Unit Sets for faster setup
