Agents

Manage and record sales agents and their referral learners including promotions and commission. As best practice, be sure to add all your Learners to Wisenet as one of your first steps.

 How does it work?

Set Up Custom Dropdowns

Before you can add Agents you must set up a Custom Dropdown.  This will allow you to tag or group records in a way that is meaningful for your organisation and, allows you to isolate records for reporting purposes.

  1. Navigate to LRM > Settings
  2. On the Left Navigation Bar, click Dropdown Lists
  3. Click the name of the dropdown list you would like to customise
    • The most common Dropdown Items that you should use are as follows:
      1. Agent Agreement Status – The Agreement that you have with the agent can be tracked via a status It is suggested that you use Current, Pending, Cancelled
      2. Agent Classification – To classify each Agent allows you to see who is performing and who is not. It is suggested that you use Gold, Silver Bronze. However you are able to track this status however you like.
      3. Agent Status – Agent Status allows you to have Current, Pending or Cancelled. This is great for reporting.
  4. Click Add New option to add a selectable option
  5. Fill out the fields and click Update
  6. Repeat until you have added all required options in your Custom Dropdowns
Add Promotion

When offering a promotion you should consider:

  • What will the promotion cost? And will the resulting sales justify the investment?
  • Does such a promotion align with brand image or could it damage the brand?
  • Will the promotion attract the right enrolments that will complete the program?

Example Promotions:

  • Discounts if signed up before a specific date – This creates urgency
  • Rewards for completing the program on time
  • Discounts for multiple enrolments
    • This could be per individual learner or agent performance
  1. Click Save

Note

After the end date has passed, a promotion will no longer be available for selection.  If you need to edit, open the relevant promotion, click Edit, change details and Save.

Add Agent

Add all of your Sales Agents before you can link them to incoming enrolments.

How to Add an AgentHow to Link Agents

  1. Navigate to LRM >  Sales
  2. On the Left Navigation Bar, click Agents
  3. Before adding a new Agent, search for the agent to make sure they are not already in Wisenet, if there is no existing record, go to Step 4 below to Add New
  4. Click Add New
  5. Enter the Agent’s details as desired
    • Code – Optional field
    • Ref External– If an agent has a registered number, enter this here
    • Classification– Optional customisable drop down
    • Add commission rates if applicable
  6. Click Save

If you searched for an existing Agent to Edit their details, follow the instructions below:

  1. On the Left Navigation Bar, click Agents
  2. Search for the agent and click their name
  3. On the top right of the page, click on the Action Menu and Click Edit
  4. Update details and add or remove promotions
  5. When finished click Save

Agents added can be linked against:

  • Course Offers in the Marketing section for Agents who can sell this Course Offer
    1. On the Left Navigation Bar, click Agents
    2. Search for the agent and click their name
    3. On the top right of the page, click on the Action Menu and Click Edit
    4. Scroll to the bottom of the page, in the Agent’s Promotions Available box, Click on the relevant promotion name
    5. Click Add
    6. Click Save
      • The newly added promotion will now show in the Selected section of the Agent’s Promotions box
      • If you need to Unlink a promotion from an Agent, Click on the relevant promotion name in the Selected section and click Remove.
  • Course Enrolments as the Sales Agent
    •  IMPORTANT NOTE: A Course Enrolment can only be attached to one agent and promotion.
      1. Navigate to LRM > Learners
      2. Open the relevant Learner details page for the learner you wish to attach
      3. In the Enrolment section of the client page, Click on the name of the relevant Course Offer
      4. On the Left Navigation Bar, click Agents
      5. Click Add Agent
      6. A dropdown menu will now appear with all your agents listed: select the relevant Agent
      7. A second dropdown menu will now appear with all the promotions attached to this particular agent listed: select the relevant Promotion
      8. Click Add
      9. Add all relevant information required in the Sale Agent Detail page
      10. Click Save

If you need to remove an Agent or change an Agent from a Learner’s Course Enrolment, you will need to follow these steps below:

  1. Navigate to LRM > Learners
  2. Open the relevant Client’s details page for the learner you wish to attach
  3. In the Enrolment section of the client page, Click on the name of the relevant Course Offer
  4. On the Left Navigation Bar, click Agents
  5. Click Delete. A message will now appear advising that the agent has been removed
  6. Click Continue

To change an Agent for a Course Enrolment:

  1. Remove the existing Agent from the Course Enrolment as shown in the steps of how to remove agent
  2. Then, link a new Agent to the Course Enrolment

Agent Reports

Once Agents have been linked, you can use uReport and Learncycle to send related and required communications to them, for example, you may need to send a Letter of offer to them. Learn More? uReportMessaging and Learncycle
